Viewing and Sharing a Report

  1. Navigate to Records > Periods in the left side menu.

  2. Select the report icon next to the report you would like to view. This will take you to the report where you can view the After Action report form and tasks associated with that period.

  3. If you wish to share your report, select the share icon at the top of the page. This will take you to the following menu:

  4. In the field labelled Description, give a short explanation for the report.

  5. In the field labelled Contact, select the phone numbers of the people you would like to grant access to the report. After Action report data is very powerful. As such, we have implemented this feature to ensure that only those whom are granted access will be able to view this sensitive information. You can add contacts under Records > Contacts; the ability to view these reports does not hinge on an ALO account.

  6. In the field labelled Expiration Date, you can choose a time period after which they will no longer have access to the report (if you wish).

  7. Select the Share button and send the link that is generated to your desired parties. This link will send them to a page in ALO where they will have to verify their phone numbers in order to view the report form.

  8. Send this link to your desired parties! They will need to verify their phone numbers in order to view the report.

Adding Period Markers

Period markers can help provide richer context on a period report. These can be used to determine show important events that happen during a period (such as: Doors open, Doors close, Guests vacate the building) and are as easy as creating a task.

  1. Select to Actions in the left side menu.

To create a new Period, select the + icon at the top of the page or click the copyicon to duplicate an already existing period.

Enter the Start and End of your Period. This time block should encompass all the tasks that will be associated with this Period, so be sure to set the beginning and end accordingly.

Set the report type. This will automatically add your custom fields to your report.

Tasks that occur within the begin and end times of this period will appear in the report. You can keep editing this form by selecting the pencil icon.

To create a new Period, select the pencil icon next to the period you wish to edit.

Select the + icon at the top and choose Period Marker.

Enter your information in the fields and select Create.

Your period marker will now appear on your report. You can also create period markers directly on the form by clicking the + icon next to Period Markers on your desired report.
